The Administrative Supervisor in our architectural firm plays a vital role in overseeing the administrative operations and supporting the efficient functioning of the organization. As an Administrative Supervisor, you will be responsible for managing a team of administrative staff, ensuring adherence to policies and procedures, and providing essential support to architects, designers, and project teams. Your excellent organizational, communication, and leadership skills will contribute to the overall success of our firm.
- Supervise and provide guidance to the administrative staff, including receptionists, office assistants, and clerical personnel.
- Assign tasks and responsibilities, monitor workload, and ensure timely completion of assignments.
- Conduct performance evaluations, provide feedback, and facilitate professional development opportunities for team members.
- Establish and enforce standard operating procedures (SOPs) to streamline administrative processes.
- Maintain and improve administrative systems, such as record-keeping, filing, and document management.
- Ensure compliance with company policies and procedures, as well as industry regulations.
- Support to Architects and Designers:
- Collaborate with project teams to understand their administrative needs and provide necessary support.
- Assist architects and designers with document preparation, report generation, and data analysis.
- Coordinate meetings, schedule appointments, and handle travel arrangements as required.
Human Resources Support:
- Serve as a point of contact for HR-related matters, including recruitment, orientation, interviews, and employee support.
- Assist in writing job descriptions, certificates, and employment offers.
- Manage staff welfare, conflict resolution, and attendance monitoring.
- Contribute to planning social, sports, and welfare activities for the team.
Financial and Budgetary Responsibilities:
- Work with the accountant to manage budget requests, proposals, and financial quality control.
- Review and approve expense reports, invoices, and other financial documentation.
Communication and Collaboration:
- Foster professional relationships with clients, business lines, and vendors to support architects and designers.
- Collaborate with cross-functional teams to ensure seamless communication and coordination.
- Stay updated on industry regulations, trends, and technology in architecture and design.
- Bachelor’s degree in a relevant field is preferred.
- Proven experience as an administrative supervisor or in a similar leadership role within the architecture, design, real estate, or construction industry.
- Strong organizational, analytical, and problem-solving skills.
- Excellent interpersonal and communication skills.
- Detail-oriented with the ability to handle time-sensitive issues in the architecture industry.
- Effective decision-making skills in high-pressure situations.
- Experience in HR management is preferred.
- Proficiency in relevant software applications and tools.
