DUTIES AND RESPONSIBILITIES:
• Check and audit petty cash before recording to SAP; for trucking petty cash, after checking, update monitoring of monthly expenses for deliveries and tally charges to logistics drivers and helpers in Excel before preparing an AP invoice in SAP.
• Checking receipts received from the suppliers (e.g., sales invoice, SOA, billing statement, or DR) before preparing an AP invoice in SAP
• Prepare a Request for Payment—all due dates for supplier payments, rush payments, and reimbursements, including special projects—and submit it every Wednesday to the Finance Manager.
• Checking of weekly payroll for the installer every Tuesday before preparing the AP invoice in SAP and submitting it to the operations supervisor after for final checking; monitoring installation costs that don’t have a NOC and no AP invoice too.
• Check and audit reimbursements coming from employees before preparing an AP invoice in SAP.
• Gather and prepare reports for every monthly general meeting.
• Records all expenses in SAP, including payments to utilities, miscellaneous expenses, website expenses, and other related expenses for the company given by the TPM, with proper GL accounts to be used.
• Online entry form for BIR monthly payment dues
• Clean-up AP Aging of Accounts in SAP & API Reconciliation (cents only)
• Records shipping and trucking expenses monthly, both in Excel and SAP.
• Preparing Purchase Order (PO), Outgoing Payment Voucher (OPV), Releasing of Checks, and Reimbursements shared by AP Staff 1.
• Update the AP Process, Change Notice Form, and other ISO requirements as needed.
• Responsible for the preparation of budget templates per department.
• Analyzes the flow of expenses vs. the allotted budget; monitors and submits monthly expenses per department to the department head.
• Responsible for all transactions between the broker and the company for the upcoming shipment.
• Can conduct training related to their department.
• Purchasing / Operational Expenses / Shipment / Importation
• Processing Government applications
• Other tasks given or instructed by my superior and TPM
QUALIFICATIONS:
• Graduate of a bachelor degree of Accountancy, Business Administration, or equivalent
• At least one (1) year of work experience in general accounting procedures is an advantage.
• Knowledgeable in Microsoft Office such as Word and Excel
• Knowledge of SAP is not required but is an advantage.
• Fresh graduates are encouraged to apply.
• Willing to multitask, work under pressure, and work with minimal supervision.
• Willing to work in Quezon City
